Administrators play a pivotal role in maintaining this security by effectively managing user roles and permissions, thereby controlling who has access to specific data. Our guide will provide you with a step-by-step approach to essential administrative controls, including how to manage user roles and permissions, configure system settings, and prevent unauthorized data exports.
Furthermore, Optimove's security and access management features enable you to implement advanced security measures such as IP restrictions, Single Sign-On (SSO), and API key management.
By utilizing these powerful capabilities, you can uphold the highest standards of data protection and security within your Optimove environment, ensuring that sensitive information remains safe and secure.
Protecting PII
Optimove ingests, unifies, and enriches your data, creating a solid foundation that empowers personalized customer experiences. In an era where data breaches and privacy concerns are increasingly common, protecting sensitive information has become a top priority for businesses of all sizes. Effective data protection strategies are essential to safeguard personally identifiable information (PII) and maintain customer trust. Optimove allows you to hide PII from the UI as well as apply PII masking at the database level, ensuring that sensitive data is not visible to internal teams while still allowing full functionality for support and data management.

Admin Control
Manage Users' roles & Permissions
An Admin has full permissions within the system and is responsible for creating new user accounts and assigning their specific permissions, tailored to their roles within the organization, through the Settings area.
There are four distinct roles within the system: Admin, Analyst, Manager, and Marketer, each with its own set of permissions. The Admin role has the ability to configure the landing page and control which specific pages each role can access.

System Configurations
Configuring system settings as an admin is essential for optimizing platform functionality. From channel-specific settings and system notifications to a range of other adjustments.
In the data protection realm, admins can tighten control over customer data by restricting data export capabilities within the Customer Explorer and Campaign Analysis Pages exclusively to admins.
Contact your Customer Success Manager to enable this option.
Admin View
User View
Additionally, admins can enforce restrictions that limit the editing of the Always Exclude Group to the admin role alone. Both settings can be applied by submitting a request to your CSM
Data Management
Admins can secure personal data by controlling the access to the Data Studio to hide attributes containing PII. This can easily be done through the Role Permission page in the settings, which is accessible to admins only.
This prevents other users from viewing sensitive information while allowing admins to control visibility without deleting the attribute.

Security & Access Management
IP Restriction
Outgoing Network Communication
To ensure seamless communication between Optimove and your environment, it is essential to allowlist specific IP addresses. We provide the necessary IP addresses for various functionalities within Optimove. Please ensure to configure these IPs according to your environmental requirements.
Review the documentation in our Developer Hub for any questions or further assistance with IP allowlisting or integration.
Web Interface Restrictions
Another critical security measure is restricting IP access to your Optimove web interface. This will ensure that only authorized users from specific network locations can access the system.
By limiting access to trusted IP addresses, this approach reduces the risk of unauthorized entry, brute-force attacks, and other potential cybersecurity threats from unknown or malicious sources.
This restriction helps safeguard sensitive data, enhances compliance with security standards, and strengthens the overall security posture of the platform.
To enable this restriction, please email support@optimove.com with the IP address or IP range, along with your tenant URL.
SSO

API Management
To ensure secure access to your data, use API keys for all API calls. All integrations with Optimove should utilize API keys for authentication. Only Admins can generate an API key directly from the Optimove account settings to protect the data and maintain system integrity.
